Refunds, cancellations, and deposits

This policy applies to fees paid to Clear Harbor Audit Counsel for financial auditing engagements and related attendance days described on this site. Website estimate requests do not create chargeable work until an engagement letter is signed.

Eligibility

Refunds are available only for amounts already paid under a signed engagement letter or observation day confirmation, subject to the conditions below.

Timeframe to request

Submit refund or cancellation requests in writing to hello@routing-platformscom.digital within fourteen days of the event giving rise to the request, or sooner if your engagement letter states a shorter notice period for fieldwork cancellation.

Full or partial refunds

If we cancel an engagement before planning begins for reasons attributable to Clear Harbor, prepaid deposits are refunded in full. If you cancel after planning has started but before interim fieldwork, we may retain a portion of the planning deposit equal to time already incurred at agreed rates, and refund the remainder. After interim fieldwork begins, fees for completed phases are non-refundable; unused future-phase deposits may be partially refunded at our discretion after deducting incurred costs.

Non-refundable items

  • Fees for completed interim or year-end fieldwork days
  • Third-party confirmation charges already paid to banks or registries
  • Travel costs incurred for inventory observation after tickets or lodging were purchased with your written approval

Refund process and timing

Approved refunds are processed within twenty business days to the original payment method where possible. Bank transfers within Japan typically clear faster than card reversals.

Cancellation and rescheduling

Inventory observation days may be rescheduled once without penalty if you give at least ten business days’ notice. Shorter notice may incur a half-day fee. Statutory engagement timelines can be adjusted by written agreement when filing calendars shift, provided independence and resource availability allow.

Deposits and no-shows

Planning deposits secure calendar space. Failure to provide agreed access on a scheduled fieldwork or observation day without timely notice may forfeit that day’s allocated fee.

Work already started

Time spent on risk assessment, walkthroughs, sampling, and report drafting is billed according to the engagement letter even if you later appoint another auditor. We will transfer customary predecessor communications upon written authorization and settlement of outstanding fees.

Exceptions

Mandatory cooling-off or consumer protections under Japanese law, where applicable to individuals, take precedence over this policy. Engagement letters may set tighter commercial terms for corporate clients; the signed letter controls if it conflicts with this page.
